Outsourced Property Management Solutions
It is important for us to establish a comprehensive knowledge of a client’s real estate portfolio. All properties under management will usually be inspected both from an estates perspective and if required in the context of building condition. Full set-up reports can be provided with for example, details of lease summaries, contacts, building maintenance principles, town planning issues etc. A review will also be undertaken of current issues and events outstanding on the estate and advice provided as to whether these are being dealt with in the most appropriate manner.

Communication
Arrangements will be established and where required a Sharepoint can be provided, this is a web based communication tool, which allows the storage of documents, contacts, diary events, which can be viewed and added to by both parties.

Management Reports and Events Diaries are established and where we are responsible for building services, maintenance programmes and budgets together with statutory registers will be recorded. Arrangements for rent, service charge and insurance premium payments can be established and payment or approval procedures agreed with the client.

Lease Expiries/Renewals/Break Options
Our events diary will alert our clients to lease ends or opportunities to break. We will then work with the client to establish what the future need is and are able to provide reports on the cost implications of continuing in occupation as opposed to termination. In appropriate circumstances we would then seek to negotiate renewals and will if necessary work with the client’s lawyers in relation to any court applications.

Rent Reviews
Similarly, the events diary will notify clients of impending rent reviews. We can prepare budget estimates and advise in connection with tactics - we will seek to negotiate the best terms using specialist landlord and tenant surveyors and where necessary provide expert evidence in connection with third party references.

Service Charges & Insurance
Our clients invariably occupy as a tenant and King Sturge can check and certify the payment demands. These can be compared with budgets and we can undertake year end reconciliations. We are able to benchmark and we are able to negotiate with landlords on the appropriateness of works undertaken or charges made. Where the client has sub-let accommodation we are similarly able to undertake apportionments and administer the accounting process.

Acquisitions
All acquisitions will be carried out in accordance with normal procedures. We can work with the client to develop business cases and test options. We can advise on different procurement routes and on evaluation. We are able to commission all appropriate surveys and for private developer schemes on a pre-let basis or for capital projects we are able to project monitor or project manage the development.

Disposals
We are able to carry out disposals of operational and non operational property, utilising a number of options such as lettings, licences and Government Memorandum of Terms of Occupation (MOTO), surrenders and the exercising in a timely fashion, break options. We negotiate the most appropriate terms. We also act as the principal interface with sub-tenants dealing with all issues that may arise.

Dilapidations
The negotiation of a dilapidation settlement will often involve both building surveyors to quantify the costs and estates surveyors to address the s.18 limitation on liability. Any negotiations will therefore be coordinated by the Account Manager and advice provided to the client with regard to an appropriate budget before negotiations are commenced.

Building Maintenance
In most cases King Sturge are appointed in relation to estate services only, however for a number of clients we offer building maintenance services. This is on a sub-contracted basis, or utilising King Sturge Management to offer a building management role or reception in a multi occupied and often sub tenanted building.

We can establish building and services maintenance contracts, arrange for call outs and provide a help desk facility. We monitor the progress of all maintenance work and also administer planned maintenance in accordance with programmes and budgets.
